Matching Services, Staff and Availability in a Multi-Staff Beauty and Aesthetics Salon

A WhatsApp booking assistant for a beauty and aesthetics salon where each service can only be done by certain staff members, so every booking has to match the right service to the right person and a time when that person is free.

Outcome

A beauty and aesthetics salon in Spain offers manicures, pedicures, waxing, diode laser hair removal, facial and body skin treatments, massage and makeup. The owner performs treatments herself and works alongside two therapists. Each person performs a different set of services, and each keeps a separate diary. Until now, every booking was arranged by hand over WhatsApp. Niro AI designed a WhatsApp booking assistant that uses the salon's own service list, slot lengths and staff capability matrix. When a customer asks for a service, the assistant knows which staff members can perform it, how long a slot it needs, and which of those people are free. It can then offer a time with the right person. Anything that needs a human decision goes to the salon team.

The challenge

At this salon, booking is not just a question of finding a free hour. Every booking depends on three things together: which service the customer wants, which staff member performs it, and when that person is free. The salon's own staff matrix shows how tightly services are tied to people: - Laser hair removal and makeup are done only by the owner - Semi-permanent nails, French or babyboomer finishes, nail decoration and nail reconstruction are done by only one therapist - Facial skin treatments and waxing are done by the owner or one therapist, never by the nail specialist - Pedicures, basic manicures and body treatments are done by the two therapists, not usually by the owner Because only one person does semi-permanent nails, the salon's most popular service is also its tightest bottleneck. The chats show waits of several weeks for that therapist's slots. Customers also often ask for several services in one visit. For example, semi-permanent nails plus a facial needs two different people, and a combination of more than about two hours usually has to be split across two staff or two days. All of this was coordinated manually. There was no online booking system, the diary could not be checked from home, and the owner often replied that she would confirm once she reached the salon in the morning.

  • Every booking was negotiated by hand on WhatsApp, usually over several messages
  • Each service can only be booked with the staff who perform it, and availability is per person, not salon-wide
  • One therapist is the only person for semi-permanent nails, so those slots are the scarcest
  • Multi-service visits need slot lengths added up and are often split across staff or days
  • The diary could only be checked at the salon, so replies to booking requests were delayed
  • Staff holidays are staggered, so the salon can be open while a particular service is unavailable

Goals

  • Let customers request an appointment in WhatsApp and get an answer without waiting for someone to check the diary
  • Book each service only with a staff member who actually performs it
  • Offer times based on that staff member's own availability
  • Use each service's slot length to judge whether a requested combination fits
  • Hand exceptions and sensitive topics to the salon team

The solution

  1. 01

    Service-to-Staff Matching

The salon supplied a spreadsheet showing which staff member performs each service. This matrix was built into the assistant's knowledge base. In Niro AI, each service can list the staff members who provide it, and a service with no staff listed can be taken by anyone. So when a customer asks for laser hair removal, the only option offered is the owner. A semi-permanent manicure goes only to the nail specialist, and a facial goes to the owner or the therapist who does skin treatments.

    Key decision
Treat the staff capability matrix as the most important booking rule, because booking a service with someone who does not perform it is the most likely way for an automated system to go wrong
    Result
Every booking is matched to a staff member who actually performs the service.
  2. 02

    Per-Staff Availability

Niro AI keeps a calendar for each bookable staff member, with weekly hours, time off and extra availability. Availability can be viewed per person or across the team for a given day. This reflects how the salon already works, with each therapist keeping her own diary column. If time off is added over existing bookings, those bookings are cancelled and the customers are notified.

    Key decision
Model availability per staff member rather than as a single salon-wide diary
    Result
Offered times reflect whether the specific person who performs the service is free.
  3. 03

    Guided Booking in WhatsApp

Niro's Appointment Management runs a step-by-step booking conversation in WhatsApp: service selection, an optional staff preference, date, available time slot, customer details and a final confirmation. Customers can also reschedule or cancel in the same chat. The knowledge base includes the salon's slot length for every service, so the assistant can add up a multi-service visit and judge whether it fits. When it cannot be sure, it confirms with the team instead of promising.

    Key decision
Replace the manual "give me your availability" exchange with a guided flow that offers real open slots
    Result
Customers can request and confirm an appointment in one conversation, without waiting for someone to reach the salon and check the diary.

    Knowledge, Reminders and Human Handoff

The assistant answers the salon's recurring questions from the knowledge base, which holds 43 common questions and answers covering prices, durations, preparation and aftercare. The salon already sent a reminder the day before each appointment and asked customers to confirm. Niro's Appointment Notifications capability supports confirmations and reminders for booked appointments. Situations that need judgement go to the team through Niro's Human Assistance capability. These include photos sent for diagnosis, bookings outside the normal pattern, and unanswered safety questions.

    Key decision
Automate routine booking and questions; route diagnosis, exceptions and safety-related questions to a person
    Result
Routine requests can be handled in chat, while the team stays in control of anything that needs their judgement.

11
WhatsApp chat histories analysed (2016 to 2026), plus 1,251 transcribed voice notes
43
Common customer questions covered with ready answers

Key takeaways

  • The staff capability matrix is the most important booking rule in a multi-staff salon, and it needs to come from the business itself, not from chat history
  • Availability has to be modelled per person; a single salon-wide diary hides the real bottlenecks
  • Accurate slot lengths for every service are what make multi-service bookings possible
  • Documented rules and real practice can differ, so exceptions should go to a human rather than be guessed

Conclusion

In a salon with several staff and many services, the hard part of booking is matching each service to the right person at a time when that person is free. Finding an empty slot is the easy part. By building the salon's own staff capability matrix and slot lengths into the assistant, and tracking availability per staff member, Niro AI turns a manual scheduling process into a guided booking experience in WhatsApp. The team stays in the loop for anything that needs a person. Post-launch performance figures (for example, time saved or number of automated bookings) are not yet documented. The metrics shown describe the work completed; the expected benefits are described qualitatively. Expected benefits: - Services are booked only with staff members who perform them, avoiding mismatched bookings - Customers see times based on the right person's availability, instead of waiting for a manual diary check - Slot lengths for every service let multi-service visits be sized correctly - The owner and therapists spend less time negotiating bookings on WhatsApp and keep control of exceptions
