Outcome
A small nail salon in Spain, run mainly by its owner, took almost all of its bookings through WhatsApp. Customers messaged to ask for a manicure or pedicure, and the owner replied by hand between clients: offering times, confirming the service, and looking up existing appointments. Niro AI set up a WhatsApp booking assistant that handles this conversation directly: the customer picks a nail service, chooses a date and an available time, and receives a clear confirmation in Spanish. Questions the assistant should not answer on its own (such as complaints, health concerns or custom nail-art requests) are passed to the owner. The assistant's knowledge base was built from the salon's published service list and four years of real customer chats (July 2022 – September 2026), so it reflects how customers actually ask for appointments.
The challenge
The salon offers a range of nail services (manicures, gel and semi-permanent finishes, pedicures, polish removal and nail repairs), each with a different duration. Booking any of them depended on one person reading and answering WhatsApp messages while also working on clients. The owner reported that replies could take hours, that she received a very large volume of messages, and that she could not listen to voice notes or take calls while working. The most common customer question was simply "When is my appointment?" The owner described answering it as hard work: "I have to go through each day one by one to find your name." Across the chat history, the same manual process led to missed or duplicated bookings, for example, a customer who was never written down, or one booked on two different days by mistake.
- Every booking required a manual back-and-forth on WhatsApp, handled between appointments
- Replies could take hours, and open time slots could be taken by someone else before a customer confirmed
- Looking up an existing appointment meant checking the calendar day by day
- Manual record-keeping caused forgotten and double-booked appointments
- Customers described services in their own words (for example "manos", "pies" or "semi"), which had to be matched to the right service and slot length
- Requests to be told about cancellations were tracked informally and were easy to forget
Goals
- Let customers book a nail appointment in WhatsApp without waiting for the owner to reply
- Guide customers to the right service, then to an available date and time
- Answer "When is my appointment?" and common service questions instantly
- Send a clear confirmation for every booking, in Spanish and in the salon's friendly tone
- Hand sensitive or non-routine conversations to the owner instead of answering them automatically
The solution

Guided Booking Flow in WhatsApp
The assistant uses Niro's Appointment Management capability, which walks the customer through a set of booking steps in the chat: service selection, date selection, available time slots, customer details and a final confirmation. For the salon, this is the simplest possible path: choose a nail service → pick a day → pick a time → confirm. Customers can also reschedule or cancel in the same conversation.
- Key decision
- A short, fixed step-by-step booking flow in WhatsApp, the channel customers already use, rather than asking them to switch to another tool
- Result
- A customer can go from first message to a confirmed nail appointment in one conversation, without the owner stepping away from a client.
- 02
Service Matching from Real Customer Language
The salon's service list (14 services with their durations) was mapped into the assistant's knowledge base, together with the words customers actually use. The chat analysis showed that customers rarely use menu names: "manos" or "uñas" means a manicure, "pies" means a pedicure, and "manos y pies" means both, booked as two consecutive appointments. The assistant uses this mapping to pick the right service and slot length, and asks when a request is unclear.
- Key decision
- Build the knowledge base from real conversations, not just the price list
- Result
- Customers can ask in their own words, including common Catalan terms, and still land on the correct service.

Instant Answers to Routine Questions
Using Niro AI's Knowledge Assistant, the assistant answers the recurring questions found in the chats: service durations, what a service includes, how to find the salon, payment methods, and what to do about a broken nail. The knowledge base includes 24 common question-and-answer patterns, written in the owner's short, warm style.
- Key decision
- Reply in Spanish, using a warm and informal tone that matches how the salon already speaks to customers
- Result
- Routine questions no longer wait in the owner's inbox.
- 04
Confirmations, and Handoff When It Matters
Every booking ends with an explicit confirmation, because customers in the chats said they only felt at ease once a booking was confirmed. Niro's Appointment Notifications capability supports confirmations and reminders for booked appointments. For conversations that need a person (complaints about work, health or nail-condition questions, nail-art photos, price or discount requests, or personal messages), the assistant uses Niro's Human Assistance capability to pass the chat to the owner.
- Key decision
- Automate the routine booking path; always route sensitive topics to a human
- Result
- Customers get a clear answer on every booking, and the owner stays in control of the conversations that need her judgement.
Results
- 14
- Salon services mapped for booking, with durations
- ~9,500
- Customer messages analysed from 10 WhatsApp conversation histories (2022–2026)
- 24
- Common customer questions covered with ready answers
- 8
- Types of conversations routed to the owner instead of answered automatically
Key takeaways
- Real customer conversations are the best source for a booking assistant's knowledge, since customers rarely use official service names
- The booking calendar, not the chat history, must be the single source of truth for availability and appointments
- A short, explicit confirmation matters as much as the booking itself for customer confidence
- Knowing what not to automate (complaints, health questions, personal messages) is part of a good booking experience
Conclusion
This project showed that even the simplest booking, a customer asking for a manicure, involves more back-and-forth than it seems when it is handled by hand on WhatsApp. By guiding customers through a short service → date → time → confirmation flow, and grounding the assistant in the salon's real conversations, Niro AI turns a manual, message-by-message process into a clear, self-service booking experience, while keeping the owner in the loop for anything that needs a personal touch. Post-launch performance figures (for example, time saved or number of automated bookings) are not yet documented. The metrics shown describe the work completed; the expected benefits are described qualitatively. Expected benefits: - Customers can book a nail service in WhatsApp at any time, without waiting for a reply - Existing appointments can be looked up instantly instead of day by day - Every booking receives an explicit confirmation, reducing uncertainty for customers - The owner spends less time on routine booking messages and more time with clients
